At the Institute of Functional Materials for Sustainability, we are seeking a bilingual (German/English) Assistant to the Institute Director (m/f/d) for an initial two-year contract. This is a part-time position at the Teltow campus, working 25-30 hours per week, with partial responsibility for the second Institute of Active Polymers located here.

Your tasks

Organizational and administrative-commercial activities in English and German for the whole Institute and as part of the assistance to the Institute Lead:

  • internal and external interface communication and correspondence in German and English
  • calendar maintenance for the head of the institute
  • compilation of decision documents incl. securing of the preparatory work
  • independent organization of business trips (also international) for the head of the institute, incl. obtaining visas etc. as well as processing travel expense accounting in accordance with the Federal Travel Expenses Act (Bundesreisekostengesetz, BRKG)
  • maintenance of the absence calendar of the institutes (including internal sick and health reports)
  • support of the institute management in personnel processes (including the processing of the access process for external parties)
  • organization of events (national and international) in accordance with applicable public procurement law
  • office supplies and hospitality management
  • other administrative tasks may be assigned depending on need

Your profile

  • completed professional training as a certified foreign language secretary
  • several years of relevant professional experience in the administrative-commercial area, professional experience in the scientific sector or in public administration is an advantage
  • fluency in English and German (spoken and written)
  • confident mastery of MS Office applications (Word, Excel, PowerPoint)
  • able to work independently, responsible, self-starter, and with strong organizational skills
  • can handle last minute assignments and changes professionally
  • effective and forward-thinking communicator
  • confident, professional, and highly cooperative demeanor
  • high level of responsibility and discretion
  • flexibility and team spirit
